Adding an Email Integration

Adding an email integration is a simple process, and you can integrate multiple email addresses with your Spark account if you monitor more than one address. This includes not only multiple addresses within a project (e.g. info@project.com and name@project.com) but also addresses across projects or from different domains (e.g. name@project1.com and name@project2.com).

To add an email integration, go to Settings → Integrations (under the Account Settings header). In the Email Sync tab, there is the option to add an integration for Gmail or another email service such as Outlook, Office 365, Exchange, AOL or Yahoo Mail. Choose either Gmail or Other and click Add, then follow the sign in steps as prompted to authorize the email account.

If you use 2-step or multifactor authentication, you may need to sign in with an app password instead of your usual password. An app password is a long, randomly generated password that you provide only once instead of your regular password.

Note: You are not limited to only one integration per email provider type – you may integrate multiple email accounts from the same provider.

Enter the name you would like to appear when sending emails from the authorized account and choose which project or projects are associated with that account. You may also (optionally) share the account with a team member if needed.

Note: If your email address services multiple projects, be sure to synchronize all applicable projects - emails can only be associated to contact profiles in projects that the address is synchronized with. This means that if you have only synced the address to project A, you cannot log emails to a contact’s profile in project B. To resolve this, sync the address to project B as well.

If you wish to track whether or not emails sent from Spark are opened or whether or not links contained within emails are clicked, select the appropriate option(s) in the Tracking section.

Your company may have already specified certain email addresses or domains to be ignored for all users, but you can add additional addresses in the Ignored Addresses section. The Ignored Addresses section is optional and allows emails from certain addresses or domains to be exempted from being synced to matching contacts. Even though these emails will not be synced to a contact’s profile, they will still be visible in your inbox for review.

These settings can be updated at any time by clicking the edit button on the appropriate active integration. Authorization can be revoked in the same manner; click the edit button on the appropriate integration and then click the Revoke Authorization button.

From time to time, you may need to reauthorize your integration. Click Reauthorize and enter your email credentials to reauthorize your account and continue syncing.
