Contact List

The contact list is extremely versatile and is designed to manage contacts with ease and efficiency. Use the search bar to find certain contacts, add filters to create highly specific groups, interact with individual contacts or perform mass actions.

To find the contact list, navigate to Menu → Contacts → List. The default list will include all contacts and displays each contact’s name, email, phone number, tags, and rating. Additional information can be displayed by selecting the desired category using the column selection button in the far right of the column headers.

 

 

Filtering the Contact List

Use the filter sidebar to create a list of contacts meeting the specified criteria. Filter categories include rating, interactions, tags, sources, deals, associations, employment, address, dates and Q&A. Multiple filters can be applied simultaneously, allowing the sales team to focus on targeted groups. 

For example, contacts could be filtered to create a list of all contacts assigned to a specific team member and who have been given a particular rating and who indicated they were interested in 2 bedroom homes (if this is a project question). If a project has a promotion on two bedroom homes, that team member could use the list to personally follow up with their contacts, maximizing their time by focusing on those contacts most likely to be interested in the promotion.

 

 

Performing Individual Actions from the Contact List

While you can click on a contact to view their profile, you can also perform several actions directly from the contact list without having to first open a contact profile page. Click on the micromenu (three vertical dots) to the far right of the contact name for the following options:

 

 

Action Description
Change Rating

Updates the contact’s rating. Select the new rating from the dropdown list and click Update.

 

Interact...

Send an email, schedule an event, or log an interaction with the contact. Complete the fields and click Log Interaction.

 

Assign...

Assign the contact to an inventory unit or floorplan (note: this does not initiate a contract), team member, agent, lawyer, group or follow-up schedule. Click the desired option and follow the prompts in the subsequent modal.

Performing Mass Actions from the Contact List

You can also use the filter criteria to create a list of contacts to which certain mass actions can be applied. Once contacts have been selected, the following mass actions are available:

 

 

Mass Action Description

Change Ratings

Contacts 7

Updates the rating of selected contacts. Select the new rating from the dropdown list and click Update.

Change Agent Tags

Contacts 3

Updates the agent tag of selected contacts. Choose whether to apply the agent tag to the contacts or remove it and click Update.

Add to Group

Contacts

Adds the selected contacts to a custom group. Choose an existing custom group from the dropdown list or create a new custom group and click Add. See Custom Groups for more information.

Assign Team Member

Contacts 2

Assigns the selected contacts to a team member. Choose the team member from the dropdown list or select the auto assign option and click Assign.

Change Follow-Up Schedule

Contacts 4

Applies or removes a follow up schedule from the selected contacts. Choose the follow up schedule from the dropdown list, select “Remove selected schedule” if applicable, and click Apply.

Change Registration Source

Contacts 6

Updates the registration source for the selected contacts. Choose the registration source and click Update.

Remove From Project

Contacts 5

Removes the selected contacts from the project. Note: this action will not remove contacts from the company database, but it should still be performed with caution; be sure you want to remove the contacts from the project before proceeding.
