Doc Portal provides a centralized area for any external contact included on a contract to quickly access all Disclosure & Amendment files along with any additional contract files via secure email link.
Note: Each Doc Portal link expires after 48 hours. Your team can manually resend new links if needed or allow link recipients to automatically receive a new one upon request, depending on your settings.
During the contract mapping process with your Customer Success Manager, you’ll work to identify any documents aside from the default Purchase & Sale Agreements and Disclosure & Amendments files that you’d like to be visible within the document portal and which types of contract personas should have access to them (buyers, agents, legal, lenders, etc). Once configured, these documents will be securely hosted in the cloud and made accessible to any individual on a Contract upon receiving their document portal link via email.
The next step is to create an email template containing a doc portal link. To get started, go to Menu → Emails → Templates and create a new transactional email template by clicking + New Template, selecting Transactional from the dropdown list, and clicking Create. Alternatively, you can edit an existing transactional template by clicking on it.
Add any desired images, text, and other links as appropriate for your project and ensure you add a Doc Portal Link section to your template. This will generate a unique and trackable link for each recipient on a contract. You can create multiple templates containing a Doc Portal link for use in different scenarios, such as when sending a Disclosure/Amendment or when sending contract documents for review.
To configure the Doc Portal link email your recipients will receive when you send a Disclosure/Amendment, go to Settings → Contracts and click the Legal tab. You can select a template for any Disclosure/Amendment that has been created in your project by clicking Edit next to the desired document. Select the desired template from the dropdown list and click Save to save your changes.
You can also select a default Doc Portal template. Navigate to Settings → Contracts and click the Documents tab. Select the desired transactional email template from the dropdown list and click Save.
Note: If you choose not to set a default Doc Portal template, link recipients will not be able to auto-request a new link after the original link expires, so your team will need to manually re-send the link if needed.
If link recipients should be able to receive a new link without your team's intervention, be sure to set a default Doc Portal template in Settings → Contracts → Documents Tab.
