How are emails logged to a contact profile?

Having an email integration synced to one or more projects is convenient, but how are emails logged to a contact profile?

Note: This article applies to users who have at least one synced email integration. If you do not have a synced email integration, emails are not logged to a contact profile unless you BCC your project address and certain other criteria are met.

 

Any emails to or from addresses or domains in your ignored addresses are displayed in your inbox, but they are never logged to a contact profile.

 

If you have only one project synced to your email address, all emails will be automatically recorded on contact profiles within that project. 

 

If you log an email interaction and send your email directly from a contact profile, the email will automatically be associated with that project and be logged to the contact’s profile within that project.

 

Note: If you have more than one project synced to your email address, it’s important to remember to assign each email thread to the appropriate project(s) so that it is recorded on the contact’s profile within that project. If you don’t assign the email thread to a project, it will not be recorded on the contact’s profile in any project.

 

Starting from the inbox (or other folder), click the building icon to the right of the email and click Add to add the thread to the desired project(s).

Alternatively, you can click the building icon in an open email thread and click Add to add the thread to the desired project(s).

Here are some examples of various scenarios and how the email sent from your inbox will be logged:

 

Scenario Outcome
You have one email address integration and it is synced to one project or you have two email address integrations and they are both synced to the same project

You send an email from your inbox to a contact

The email is automatically logged to the contact’s profile under the interaction type specified in your project settings.

You send an email from your inbox to an address that is not a contact

The email is not logged since the contact does not have a profile. You can still see the email thread in your Sent folder.

 

You have one email address integration and it is synced to two projects

You send an email from your inbox to an address that is a contact in project 1 but not project 2 (or vice versa)

The email is automatically logged to the contact’s profile in the project they belong to. The email is not logged in the other project since there is no contact profile in that project.

You send an email from your inbox to an address that is a contact in both projects

The email is not automatically logged. Use the project selector to specify which project(s) the email thread should be logged to.

 

You have two email address integrations and they are each synced to a different project

You send an email (from the email address synced to project 1) from your inbox to a contact in the project 1 database

The email is automatically logged to the contact’s profile under the interaction type specified in your project settings.

You send an email (from the email address synced to project 1) from your inbox to an contact in the project 2 database

The email is not logged since the contact does not have a profile in project 1. You can still see the email thread in your Sent folder.
