Merging Duplicate Contacts
From time to time, you may find duplicate contacts in your database. These can be merged to keep your database clean while retaining information about each contact version.
Getting Started
- Who can do this: Company-level admins. Project-level admins can't merge contacts unless they're also company-level admins.
- Before you start: Switch to your company database by choosing your company name from the project selector. Merging contacts isn't available from a project view.
Finding Duplicate Contacts
There are two places to find duplicate contacts in your company database, and you can merge contacts from either one.
The Duplicates page: Go to Menu → Contacts → Duplicates. This page lists contacts that share the same email address. You may not see many contacts here, since it only finds duplicates with a matching email.
The contact list: Go to Menu → Contacts → List and search for the person by name, email address, or phone number. Searching by name or phone number usually works best, since it also finds duplicate contacts that were created with different email addresses.
Merging Contacts
From either the Duplicates page or the contact list, select the checkbox beside each contact you want to merge. You can merge up to 10 contacts at once. Click the Merge mass action button, click Merge again, then click Yes to confirm you want to merge the selected contacts.
You'll then see the selected contacts side by side, so you can choose which information to keep. For each field (for example, last name or registration source), one version is already selected. Leave it selected to keep it, or click another contact's version to keep that one instead.
Interactions and notes from all of the selected contacts are combined automatically. You don't need to select them.
When you've made your choices, click Merge. Spark will ask you to confirm. Click Confirm, and the duplicate contacts become a single contact with the details you selected.
FAQ
What happens to reservations and contracts when I merge contacts?
Reservations and contracts are kept. Any reservations and contracts belonging to the contacts you merge are combined into the single merged contact, so nothing is lost.
Can I undo a contact merge?
No. Once you click Confirm, the merge is permanent. Before confirming, make sure you've selected the right contacts and the details you want to keep.
Can I merge duplicate brokerages too?
Yes. Merging brokerages works in a very similar way. It's also limited to company-level admins and done from your company database, under Menu → Brokerages. See How to Merge Brokerages in Your Company Database for the full steps.
