To view the Request List, go to Menu → Inventory → Requests. By default, requests are presented in the order they were received, but you can also apply filters for specific statuses, purchasers, agents, dates, and other request details.
Click on a request to view it and you’ll be able to see a summary of the request and the details of each selection made. Additionally, you can view the contact files and other files that were submitted with the request. Note that for the Request Detail filters, you will need to first select either the Floorplan Requests Only or Inventory Requests Only radio button to generate the rest of the Request Detail filters as these are specific to the type of request.
Reviewing Files
To review a file and determine whether or not it is acceptable for your purposes, scroll to the Contact Files or Files section of the request and click the Review button for the file. This opens the file in Spark and allows you to click either Approve or Decline as needed. Clicking one of these buttons will also update the file status on the request. All approved files will be selected by default when converting to reservation or contract and will be displayed in either the People or Files sections depending on if they were associated with a Contact or the Request.
Accepting or Declining a Selection
To accept or decline a selection, click the micromenu (three dots) to the right of the selection and choose either Accept Selection or Decline Selection.
Depending on your Request Settings, this may automatically decline any additional selections within this request. Similarly, if you are using inventory unit requests, any selections for the unit in other requests may be automatically declined if you have specified that they should be in your Request Settings.
Converting a Selection to Contract
To convert a selection to a contract from a request, click the micromenu next to the selection and click Convert to Contract. If your project has the Reservations feature enabled, you will also have the option to Convert to Reservation and can select this option instead if appropriate.
After clicking to convert a selection to a contract (or reservation), you will be directed to your normal workflow for creating a contract and can enter the details as you normally would. Purchasers and Agents attached to the request form submission will automatically carry over into the contract, so these will be pre-selected for you but can be edited if necessary.
Sending a Request Email from the Request List
Similar to the Contract List, emails can be sent from the Request List, either to the contacts on an individual request by clicking the micromenu next to the request and choosing Send Email. Enter the desired subject line and from name, then choose a template from the dropdown list and select a from address. If you have not verified a domain and set a sending email address, you will be unable to select a from address and the email will be sent from Spark’s default domain.
Finally, use the toggles to select which contacts to send the email to, and click Next. Confirm the subject line, from address, template, and recipients are correct and click Send Request Email.
