Smart Groups

 

Smart Groups automatically update based on defined criteria. For example, if your project has the question “what type of home are you looking for?” and one of the answers is “two bedroom” you could create a smart group of contacts interested in two bedroom homes that would update itself each time a contact is associated with this answer. Similarly, if a contact is disassociated with the answer, they will be removed from the smart group.

 

Creating a New Smart Group

To create a new smart group, begin by applying the desired filters or search criteria to the Contact List (Menu → Contacts → List) or Advanced Search page (Menu → Contacts → Advanced Search). Click the micromenu at the top right of the page and select Create Smart Group.

Because smart groups automatically update as a contact meets (or no longer meets) the given criteria, manually adding or deleting contacts from the group is not necessary. By the same token, a smart group is most useful when your team practices good data maintenance. 

Using the previous example, if a team member learns that a contact is interested in two bedroom homes but does not confirm this is recorded in the Q&A section of their profile, the contact will not appear in the smart group. Or, if a team member learns that the contact has changed their mind and is actually interested in three bedroom homes, not two bedroom homes, the contact will not be removed from the smart group unless the team member updates the Q&A section of the contact’s profile.
